Terms & Conditions

Last updated: October 2026

1. Who this agreement is with

Barazas is operated by Mydora Consultants Limited, a company registered in the Republic of Kenya. These Terms are an agreement between your organization and that company.

By creating an account, accessing the client portal, or using any part of Barazas ("the Service"), your organization and its users agree to be bound by these Terms. If you don't agree, don't use the Service.

2. The Service

Barazas is an event-management platform: attendee registration, consent collection, check-in, delegate communications, and reporting for conferences and similar gatherings. Client organizations are onboarded by Barazas staff; each organization manages its own events, team members, and attendees within the Service.

3. Accounts and Organizations

Each client organization is responsible for the accuracy of the information it provides, for the actions of the team members it invites into its account, and for keeping login credentials confidential. An organization admin may add, remove, or change the role of their own team members at any time; every organization must always have at least one active admin.

4. Attendee Data and Consent

Client organizations are responsible for having a lawful basis to collect and process their attendees' personal data through the Service, including any photo/media consent collected via Barazas's consent forms. Barazas processes this data on the organization's behalf and does not sell attendee data or use it for purposes other than operating the Service.

5. Fees and Payment

Where an event has an associated hosting fee, that fee is shown to the organization in the client portal and is payable by card or mobile money through our payment processor, Paystack. Fees are non-refundable except where required by law or agreed separately in writing.

6. Acceptable Use

You won't use the Service to send unlawful, abusive, or deceptive communications, to collect attendee data without a legitimate basis, to attempt to access another organization's data, or to interfere with the Service's normal operation.

7. Data Retention and Security

We retain organization and attendee data in active form for 24 months from the end of the event it relates to. After that it is moved to archive storage, which we retain indefinitely so that past events remain auditable and so we can meet tax, accounting and legal obligations. Archived data is not used to operate the Service and is accessible only to authorised Barazas staff.

If you need data deleted sooner than this, or deleted from the archive, write to us using the contact details below. We will act on the request unless we are required by law to keep the records.

We apply reasonable technical and organizational measures to protect the data we hold, including encryption in transit and at rest and access controls limiting who may see it. No method of transmission or storage is perfectly secure, and we cannot guarantee absolute security.

8. Intellectual Property

Barazas and its logos are the property of Barazas. Each organization retains ownership of its own event content, attendee data, and uploaded materials, and grants Barazas a license to process that content solely to provide the Service.

9. Limitation of Liability

To the maximum extent permitted by law, Barazas is not liable for indirect, incidental, or consequential damages arising from use of the Service. Our total liability for any claim is limited to the fees paid by the organization in the twelve months before the claim arose.

10. Termination

Either party may stop using/providing the Service at any time. We may suspend or terminate an account for non-payment, breach of these Terms, or unlawful use. On termination, an organization may request an export of its data within a reasonable period.

11. Changes to these Terms

We may update these Terms from time to time. We'll update the "last updated" date above when we do; continued use of the Service after a change means you accept the updated Terms.

12. Governing Law

These Terms are governed by the laws of the Republic of Kenya. You and Barazas submit to the exclusive jurisdiction of the courts of Kenya for any dispute arising out of or in connection with these Terms or your use of the Service.

Where your organization or your attendees are located outside Kenya, this does not remove any rights you have under the mandatory law of your own country that cannot be set aside by agreement.

13. Contact
